How many Staff handle canvassing and distribution on behalf of Data Tracking?

We never over face our Staff and for canvassing purposes restrict them to five hundred households per batch. Once they have completed one batch to our satisfaction they are given a further batch. when we work on a pure delivery contract Staff are paid on an hourly basis (at least 10% above current and future proposed minimum wage requirements - £6.50 an hour increasing to £6.70 in Autumn) with a bonus attached calculated on the area covered and production per hour within that area

How can we be sure that your Staff are honest and reliable?

Our Staff are sourced from many places including Universities, Job Centres, Recruitment Agencies as well as from various National Associations and internet advertising. All our Staff are CRB checked prior to employment and they are not allowed to have anyone assisting them unless we have full details of the person(s) beforehand

Additionally Staff are informed that immediate dismissal will result from anti social behaviours such as being rude or offensive, swearing, working with other people or pets and using external audio equipment

When you handle Electoral Register canvassing how often will we receive the data collected by your team?

That is entirely at your discretion - we can pass the data and completed forms to you every other day, weekly or at the end of the campaign period.

How long does it take for you to confirm prices for our canvassing and distribution needs?

Subject to the provision of numbers and dates we can usually confirm costs within five hours.

What is your reaction to canvassing/distribution in rural areas?

We are very much aware that the areas controlled by most local authorities are comprised of both urban and rural areas and our standard pricing structure takes this into account.

Difficulties sometimes arise in areas that are predominantly rural; the reason being the difficulty and time spent in accessing farms and properties with long driveways. Additionally for purely rural areas Data Tracking need to employ staff that drive and own their own vehicles which of course reduces our staffing choice and in turn increases the cost of employment and carrying out the canvass. In such instances a sur charge maybe necessary.

How do you carry out post canvass electoral registration campaigns?

By telephoning non respondents at different times of the day and at weekend to ensure we speak to someone within a short space of time. Post canvass telephone campaigning can also be supplemented by door to door canvassing where this is warranted and requested by the Local Authority.

Do we have to use Data Tracking for the whole of the canvass or can we use you for just a part of it?

We are quite happy to undertake ‘part’ canvass even if they are solely in rural areas as our quotation will reflect this.

In addition to canvassing what other work do you handle?

We handle any Local Authority work that is similar to canvassing and ITR delivery such as the distribution of Council magazines and newsletters, identifying household sectors and identifying and reporting on selected distributions throughout the UK

Are you happy to quote for work via official tender through our Procurement Officer?

Ye of course - we have started (May 2015) to track official tenders through various websites but if you know of any tenders that may interest us please send us the link and we will be happy to consider the work

Is the price quoted for the work the final price or do we have to pay additional expense such a mileage allowances and telephone costs?

Our quotation will be an all inclusive one and you will not be charged any extras.

How are you able to price for jobs in areas that are unknown to you?

We use highly sensitive mapping software which allows us to distinguish isolated and remote areas and price accordingly. The software reflects the number of properties in any given area and allows us to calculate the ‘man’ hours taken to fulfill the job.

Do you use local staff for the work?

Wherever possible we try and utilise Staff drawn from the Local Authority as they know the district well and it builds up a good rapport with the Electorate as well as being good for the image of the Authority. Post canvass campaigns are handled by tele operatives throughout the Country but we always use local people where there is a strong Regional dialect or accent.

How Are You Minimising Risk In Relation To The Coronavirus Pandemic?

All our Staff are supplied with PPE and must wear face masks when canvassing and sanitise their hands and materials regularly. Covid testing is easily available to all Staff and a positive result will mean self isolation for the Staff member concerned. We immediately adopt and maintain Government guidelines with regards to Covid-19.
